Reed Business Support have partnered with a charity based in Maidstone who are looking to recruit an Administrative assistant on a part time basis.

The role will be working with the fundraising team and supporting on various administrative & data entry duties across the organisation. The role is varied and exciting with the core focus on putting our supporters at the heart of everything we do. You will be responsible for communicating with our supporters and growing relationships, networks and income.

Day to day duties of an administrative assistant include:

• Manage General Donations administration by accurately logging income, data capture and respond with customised personalised thank you letters and telephone calls.

• Input and update data on the CRM Raiser’s Edge database, ensuring that information is both accurate and appropriate to the highest standards. This includes capture and implementation of our supporters’ marketing preferences.

• You will handle incoming calls and managing supporter queries whilst recording supporters interactions and uploading relevant documentation

• Adhere to the Charity Commission guidelines and other external regulatory bodies e.g. General Data Protection Regulations, the Fundraising Regulator, as set out in internal processes, policies and procedures.

• You will work closely with colleagues not only within your team but across the wider organisation to ensure excellent cross-team collaboration.

• As a key member of the team you will be required to be agile, co-operative and supportive by providing administration support during peak times and as required. This may involve occasionally assisting with the administrative work of other departments, particularly during holiday periods or absence of key colleagues.

Experience & requirements for the administrative assistant:

 CRM experience in data entry, manipulation and reporting.

 Experienced in relationship building and evidence of supporter engagement.

 Experienced in delivering excellent standards of customer/relationship support.

 Excellent IT skills in a comprehensive range of software (MS Outlook, Excel, Word, Internet Explorer, PowerPoint and database packages) and the ability to use ICT for basic research and problem solving.

 Good numeracy skills and the ability to manipulate data through excel and/or databases.

 Excellent verbal and written communication skills and the ability to independently produce accurate letters, briefings and simple reports etc. Good pass at GCSE or equivalent English and Maths.

 Excellent telephone manner with a willingness to telephone and thank supporters personally.

 Experienced in handling a wide range of activities and prioritising these effectively, the ability to work to very tight timeframes whilst maintaining a very good level of accuracy and attention to detail.

 Ability to use initiative and make effective decisions at an appropriate level.
