Service Support Administrator

We are recruiting a Service Support Administrator to work on a full-time permanent basis, Monday-Friday 9am-5pm to join the friendly team in the Service Department of this successful HVAC company.
You will provide administrative support to the Service Department ensuring all standards are met. You will liaise with the company customer base and coordinate with the engineering team to reduce down time by carrying out "Planned Preventive Maintenance" of the client's businesses fixtures and fittings, as well as assisting with reactive call outs, whilst ensuring excellent customer service.
Your main duties will include:
* Answering the telephone, directing, and screening calls where necessary.
* Covering periods of annual leave within the Service department.
* Sending proformas to customers monthly before site visits are required.
* To monitor payments received with Accounts and process accordingly.
* Taking credit card payments over the phone.
Planning and Scheduling
* Scheduling works for allocated Engineers using Salesforce CRM.
* Raising permits and monitoring approval. Maintaining permit systems with relevant contractor information.
* Sending Risk and Method statements for future works
* Quoting customers for remedial works and following up.
* Processing approved remedial quotations. To include: Processing orders on Opera, arranging parts, completing requisition forms.
* Raising Po's for parts from external suppliers and subcontractors.
Renewal Business
* Keeping the Renewal business up to date
* Creating and Sending out Renewal quotations to existing clients
* Renewing contracts on Sales Force and Opera once we have approval
* Ordering any additional non stock parts required
* Making sure all details on Sale Force and Opera are up to date on renewal.
Experience/Qualifications
* 2+years working in an administrative role
* Experience of working within a busy service/logistics environment
* IT Literate: MS Office and database operation
* Excellent customer service skills via telephone and email
* CRM/ERP system and HVAC knowledge are advantageous but not essential as training will be provided.
In addition to this, you will be a team player, well organised, an excellent communicator and be able to work under minimum supervision. You will be confident, methodical with good problem solving skills.
