OSA Fine Spirits Ltd: Office Administrator/Bookkeeper

OSA Fine Spirits Ltd is the brand owner, bottler and distributor of premium beverage spirits. The business requires administrative support to the Finance Director. This role will start on a temporary basis at around 20 – 25 hours per week starting at 9am on days to be agreed.

1. General Administration Duties
a. Telephone call handling
b. Reception
c. Filing
d. Attendance Records including Agency Worker Hours returns
e. Office stationery management
f. Management of OSA Trademark records and renewals

2. General Finance Duties
a. Bank Reconciliations
b. Operate and reconcile the confidential Invoice Discounting Facility
c. Credit Card reconciliation and input to Sage
d. Management of Petty Cash
e. Expenses

3. Sales & Associated Ledger Duties
a. Management of UK sales accounts and order processing
b. Management of Amazon sales portal (we are currently in the process of switching from Vendor Central to Amazon Sales Central and support will be provided by Ecommerce.com
c. Create Sales Orders in Sage from Customer orders
d. Supply Production Order to Warehouse
e. Create all shipping and Packing documentation for Warehouse
f. Process samples via Sage, pack for dispatch and complete Samples Spreadsheet
g. Book Couriers or Pallet collections
h. Entering stock tracking data to customer invoices

4. Purchases Ledger Duties
a. Input Service Supplier invoices
b. Supplier Statement Reconciliation
c. Reconciliation and upload of stock invoices in Sage

5. Important characteristics of the role include:
a. Familiarity with the Sage Line 50 accounting package
b. Expertise with the Microsoft Office range of tools especially Excel spreadsheets and Outlook
c. An ‘Out-reaching personality’ so as to contribute to positive supplier and customer relationships in our business management matters
d. Recognition that:
i. The immediacy of the business requires 'frequent touches'. Attendance at the company premises is required on a schedule to be agreed although there is flexibility to allow for some home working as well.
ii. This is presently a small firm where everyone may be reasonably required to contribute to the range of tasks required to achieve sales and delivery commitments.
iii. This is a growing the business and understanding of the implications of rapid growth in small companies is important.
